Information We Collect
We collect account information (name, email, organization, role), usage data (actions within the platform, login timestamps), video content uploaded to the platform, communication data, training and practice-plan inputs, AI chat prompts and responses, and safety acknowledgment records. We do not sell personal information to third parties.
Training and Athlete Information
CoachingDrive may process information related to drills, workouts, warm-ups, stretches, practice plans, positions, teams, assignments, performance context, and user-provided athlete notes. This information is used to provide coaching, recommendation, search, AI, and team-management features.
Minors and Guardian Context
Where the platform is used by or for minors, organizations, parents, and guardians are responsible for providing appropriate authority and access configuration. We may store parent or guardian relationship information, minor indicators, and consent-related records needed to operate the service.
How We Use Your Information
We use your information to provide and improve the CoachingDrive service, authenticate your identity and enforce role-based access control, generate and display recommendations, support AI-assisted workflows, send important platform notifications, maintain safety acknowledgment records, and respond to support requests. We do not use your data for advertising purposes.
AI Processing
AI-assisted features may process your prompts, uploaded or linked content, and relevant platform context to generate responses, summaries, recommendations, practice plans, or search results. AI outputs may be retained with related session or plan records so authorized users can review prior work.
Data Security
All data is encrypted in transit using TLS. Role-based access control ensures users can only access data within their authorization level. Full audit logging records all platform actions with timestamps. Regular security reviews are conducted by our team.
Video Content
Videos uploaded to CoachingDrive are stored securely and are only accessible to users with appropriate role permissions within your organization. Videos are never shared with third-party organizations without explicit authorization from your Super Admin.
Safety Acknowledgment Records
When a user accepts a safety, Terms, or Privacy acknowledgment, we may store the policy key, policy version, checkbox selections, user role, acceptance timestamp, client type, IP address, and user agent to document acceptance and support compliance review.
Data Retention & Deletion
Your data is retained for the duration of your active subscription. Upon account termination, data is retained for 30 days to allow data export, then permanently deleted. Season data flagged for archive remains accessible per the Legacy Queries feature of your plan.
